Outsourcing Admin Tasks for CEOs: Insights from My Conversation with Ashley Paul

As a business owner, I know how overwhelming admin tasks can feel. That’s why I was thrilled to welcome Ashley Paul, a wedding planner and virtual assistant expert, to The Dream Biz Podcast. Ashley helps creative entrepreneurs clear the clutter in their businesses so they can focus on what they love.

In our conversation, Ashley shared her journey and invaluable tips on outsourcing admin tasks for CEOs. If you’re feeling bogged down by your to-do list, her insights might be just what you need!

Meet Ashley Paul, The Wedding Guru & Virtual Assistant

Ashley has over 15 years of experience in the wedding industry. She started working with her mom early on, which sparked her love for weddings. After college, she launched her own business, C + A Event Planning, which grew steadily over the years.

When COVID hit, everything in the wedding industry changed. Ashley noticed that many entrepreneurs were struggling to balance work and life. She wanted to help people free up time for their families and focus on what truly mattered. That’s when Ashley Paul Co. was born.

Now, Ashley offers virtual assistant services and custom project management to help business owners streamline their operations. From email overhauls to automated workflows, Ashley takes on the tasks that weigh entrepreneurs down, making their lives easier.

Why Is Outsourcing Admin Tasks for CEOs Important?

When I asked Ashley why outsourcing is so critical, she explained that it allows business owners to focus on their passions. Admin tasks can drain your energy, especially if they aren’t things you enjoy doing.

Ashley emphasized how outsourcing reignites joy and motivation. By handing off tasks you dread, you can free up time and mental space for what lights you up.

I’ve felt this in my own business. Delegating even small tasks, like scheduling blog posts, has made a huge difference in how I approach my work.

What Tasks Should CEOs Outsource First?

Ashley recommends starting with repeatable tasks. These are the small, recurring things that don’t require your personal input. For example, she helps clients schedule social media posts, send invoice reminders, and format newsletters.

For bigger projects that have been sitting on your to-do list, Ashley offers VIP intensives. These focused sessions allow her to dive in and get the job done quickly, so it’s no longer hanging over your head.

How to Overcome the Fear of Letting Go

One of the biggest challenges with outsourcing is the fear of losing control. I asked Ashley how she helps clients navigate this. Her answer was simple: communication.

Ashley starts every client relationship with a three-month trial period. This gives both sides time to work out any issues and ensure they’re aligned. She encourages open conversations about concerns and reassures clients that outsourcing doesn’t mean giving up control—it means gaining support.

How Can Outsourcing Benefit Your Business?

Ashley shared a few powerful success stories. One of her clients had thousands of emails clogging her inbox. Ashley organized everything into labeled folders, leaving just 11 emails to handle. The client was thrilled to have a clean slate and a clear mind.

Another example was a photographer who needed help automating workflows. Ashley set up systems that maintained a personal touch but saved the client hours of work each week. These changes allowed her clients to reclaim their time and focus on growth.

How to Find the Right Virtual Assistant

When looking for a virtual assistant, Ashley advises finding someone with experience in your industry. This reduces the learning curve and ensures they understand your unique needs.

Most of Ashley’s clients find her through Instagram or word of mouth. If you’re searching for help, start in the spaces where your industry connects—whether that’s social media, referrals, or industry-specific directories.

How Outsourcing Helps CEOs Scale Their Business

Outsourcing isn’t just about getting tasks off your plate—it’s about creating space to grow. Ashley shared how even outsourcing 10 hours a month can free up time for creativity, strategy, or simply taking a day off.

Ashley described herself as a “clone” for her clients, handling tasks the way they would. This seamless integration allows her clients to focus on what they love without worrying about the details.

Ready to Reclaim Your Time?

Talking with Ashley reminded me of the power of outsourcing. It’s not just about saving time; it’s about finding joy in your work again. If you’re ready to free yourself from the tasks weighing you down, consider starting small—like Ashley suggests.
