As a creative entrepreneur, managing finances can often feel overwhelming. That’s why I want to share my straightforward approach to bookkeeping. In this post, I’ll take you step-by-step through bookkeeping made simple, which is a crucial element of running a smooth, successful business. This process has helped me get rid of tax-time stress and keep my financials in order year-round.

Why Bookkeeping is Important for Creative Entrepreneurs

Bookkeeping might not be the most exciting part of running a business, but it’s absolutely essential. When you have a clear handle on your income and expenses, you’ll feel confident about your business’s financial health. As a creative entrepreneur, staying organized with your money is crucial for growing your business. Let’s get started on bookkeeping made simple.

Step 1: Keep Business and Personal Finances Separate

One of the best tips I can offer is to open a business checking account. Whether you choose a checking account or a business credit card, keeping your business and personal transactions separate will make bookkeeping and tax time much easier. Every business expense, from client meals to parking fees, should be made through your business account.

Step 2: Track Every Business Expense

To simplify bookkeeping for creatives, it’s important to track all of your expenses. I personally use a CRM (Customer Relationship Management) software called 17Hats, but there are other great tools like Dubsado, HoneyBook, or Wave Accounting Software. These tools help categorize your expenses automatically, making it easier to track things like advertising, meals, and software subscriptions.

Step 3: Categorize Your Transactions

Once you’ve connected your bank account to your bookkeeping software, make sure each expense is categorized. Common categories include:

  • Advertising (ads, website fees)
  • Meals and Entertainment (client meetings)
  • Software (your tools and platforms)
  • Equipment (if you’re a photographer or artist)

Having the right categories will make it easy to see where your money is going. I also recommend going through your financials weekly or monthly. This regular check-in prevents overwhelm and allows you to stay on top of your business’s financial health.

Step 4: Attach Receipts to Every Transaction

To make tax season a breeze, keep a record of every receipt. If you have paper receipts, take a picture and store them digitally. If you receive email receipts, create a special folder for them in your inbox. This simple step will make it much easier to locate everything if you need to verify an expense.

Step 5: Review Your Finances Regularly

I used to leave all my financial tasks until the end of the year. Now, I check in weekly to categorize transactions, review my profit and loss, and ensure I know where my money is going. Doing these quick financial check-ins saves me hours of stress. You’ll also avoid the frustrating experience of not knowing what a transaction was for months down the line.

Step 6: Use Bookkeeping Software for Reports

One of the major perks of using software like 17Hats or Wave is the ability to generate reports like Profit and Loss (P&L) statements. These reports break down your income and expenses by category, which is especially helpful at tax time. Instead of struggling with spreadsheets, your software does the heavy lifting for you.

Step 7: Record Payment Processing Fees

If you use an online payment processor like Stripe or PayPal, you’ll need to record the transaction fees they deduct. These are legitimate business expenses, and by tracking them, you can claim them as deductions. Always make sure to check the fee amount and enter it into your bookkeeping system.
