How to Turn Leads into Clients: A Guide for Business Owners

Turning leads into paying clients is a key aspect of growing any business. With a structured approach, you can increase your client base, streamline your process, and save valuable time. The following steps outline how to effectively capture leads and turn them into clients without being tied to your inbox.

1. Generating Leads

  • Your leads need to find you! Direct potential clients to your website using marketing strategies. Episode 3 of your podcast explains where to find clients, and Episode 5 covers how to create a website to convert leads.
  • Make sure all potential clients are funneled through a lead capture form on your website.

2. Using a CRM for Lead Capture

  • Create a lead capture form using a CRM like 17hats to collect contact information and inquiries.
  • Set up automated replies that send an introduction, pricing details, and a link to your FAQ page. This automated process saves time and ensures consistency in your responses.

3. Focus on Client Needs

  • When responding, focus on how your services will benefit the client. Showcase the results they’ll achieve by working with you.
  • Break down your pricing structure and direct them to an unlinked webpage on your site for easy editing, rather than sending a PDF.

4. Pre-Qualifying Clients

  • Send a questionnaire to pre-qualify leads. This should include questions to determine if they are the right fit for your business, such as asking for social media handles and assessing whether they meet your ideal client profile.

5. Follow Up

  • If a lead hasn’t responded within three days, send a follow-up email asking if they’d like to hop on a call.
  • Include an open-ended question like, “Is there anything I can do to help make your decision process easier?” to encourage a response and avoid being ghosted.

6. Persistent, But Polite Follow-Up

  • Continue following up every few days. If you haven’t heard back after 4 follow-ups, consider the lead lost and stop pursuing.

Actionable Checklist for Converting Leads into Clients

  1. Set Up a Lead Capture Form. Use a CRM to create an automated form that collects leads’ contact details and inquiries.
  2. Automate Your Responses. Send an automatic email with an introduction, pricing details, and a link to your FAQ page.
  3. Pre-Qualify Leads. Send a questionnaire to assess if the lead is the right fit for your services and gather relevant details.
  4. Personalize Your Communication. Focus on the client’s needs in your responses and demonstrate how your services provide solutions.
  5. Follow Up. Send a follow-up email after three days, ending with an open-ended question to encourage engagement.
  6. Continue Follow-Up. Send up to four follow-ups to maximize conversion potential. If there’s no response after that, consider the lead lost.

By following this process, you’ll not only save time but also streamline the way you convert leads into loyal clients.
